Steps

Variable User Logging In/Out

Logging In

  • Launch TeleTracking and input your User Login ID and Password. Click the Sign In button.

  • From the Clinical Operations menu, click the PreAdmitTrackingoption.

  • From the Select Membership box, choose the unit you are working on. Click save.

  • You will now see the view for your designated unit.

Logging Out

  • In the upper-right corner of the page, click the sign-out or end-session link.

    • End session - if you are signed into more than one session or workstation, select end session to end the current session.

    • Sign out - if you are signed into multiple sessions (or multiple workstations), sign out will close all sessions on all workstations.

Fixed User Logging In/Out

To Log In

  • You will now see the view of your unit.

To Log Out

  • In the upper-right corner of the page, click the sign-out or end-session link.

To Log In

  2. From the Clinical Operations menu, click on PreAdmitTracking®.

Signing In

Everyone who uses the Capacity IQ® solution must sign in.

How Signing In Works

Functionality

User ID and Password

  • Sign in for the first time each day using a user identification code (user ID) and password provided by your administrator.

For Users with Variable Membership

  • If you have a variable membership (sometimes called being a "floater"), select the units or clusters in which you will be allowed to see data and have access.

  • You may change the units and clusters to which you have access during a shift by signing out and signing in again.

  • If you have the "Allow User to Set Membership on Login with RAC" permission, you may sign in again and change units and clusters without requesting a Re-Assignment Authorization Code (RAC).

  • If you do not have this permission, ask a supervisor or administrator for a RAC and enter the RAC when signing in.

Transporters and Bed Cleaners

  • Transporters and bed cleaners cannot sign in on a workstation if their current statuses are Dispatched or In Progress on transport or bed cleaning jobs.

Portal Secondary Login Error

  • Unable to use secondary login from Portal on certain consoles. Receive messages: “An error has occurred. Please contact your system administrator.” and "A potentially dangerous Request.Form value was detected from the client (HdnFilterUnitNames="")."

  • Caused when a unit or ward has a character in the abbreviation field that is considered dangerous by http://ASP.NET 's form handler (e.g., greater than, less than, or apostrophe characters).

  • Solution: Remove any unusual or dangerous characters from the Unit/Ward Abbreviation from the Admin Tool or Capacity Management Administration section of the application.

Signing In an Employee or Supervisor

  1. (Optional) If Variable appears in the Device section and you want to select the employee's paging device, select an available device for the employee.

    • Do not select a device that has a * next to it. Those devices are already assigned and are not available.

    • If an Invalid Device Method message appears, the administrator must select a device method (such as Variable) in the employee's user profile before you can continue.

    • You may only assign Vocera devices to employees who have Vocera user IDs assigned in their user profiles.

  2. Click Login for the Day.

    • If the employee has a variable assignment, the Change Assignment dialog box appears. If this dialog box does NOT appear, skip to Step 4.

    • If the employee's user account has been deactivated, a message stating that appears at the top and the Login for the Day button is grayed out and unavailable.

  3. If the Change Assignment dialog box appears, select the check boxes for the sections and zones to which the employee should be assigned to work, and then click Submit.

    • A confirmation message appears at the top of the dialog box.

    • To close the dialog box, click Close.

Login Troubleshooting Basic - Checklist

Part 1 - Invalid User ID or Password

  • If a message appears stating that the user ID or password is invalid, check to make sure you have entered the correct information in both the User Login ID and Password boxes.

  • This message also appears when you attempt to sign in using a deactivated user account.

  • Check with your hospital's Capacity IQ® solution administrator to ensure that you are using a user login ID and password from an active user account.

  • If you have forgotten your password, click the “Forgot Your Password” link.

  • TeleTracking® Support representatives cannot change user IDs, user accounts, or permissions. Contact the representative at your hospital who is the administrator for the Capacity IQ® solution.

Part 2 - Signing in When You Have Variable Membership ("Floater")

  • If you have variable membership, select a cluster or ward to access patient, bed, and job information from that cluster or ward.

  • When accessing the Capacity IQ® through the TeleTracking IQ Platform:

    1. In the “User Login ID” box, type your user ID (e.g., csmith).

    2. In the “Password” box, type your password.

    3. Click “Sign In”.

    4. Select an application (e.g., Clinical Operations > PatientTracking Portal).

    5. If your health system is configured for multiple instances of the Capacity Management™ Suite, select the instance name.

    6. When the “Select Membership” dialog box appears, select the cluster or ward for which you are authorized to access patient, bed, and job information.

      • To select a cluster, select the check box for the cluster name. You can select only one cluster check box.

      • To see the list of wards within a cluster, click the + next to the cluster.

      • To select a ward, scroll to the end of the list of clusters, and then select the check box for the ward. You can select only one ward check box.

    7. Click “Save”.

Part 3 - Transporters and Bed Cleaners

  • Transporters and bed cleaners cannot sign in on a workstation if their current statuses are Dispatched or In Progress on transport or bed cleaning jobs.

Part 4 - Clearing Cache and Cookies

  • Open the browsing data settings by navigating using the Keyboard Shortcut - CTRL + SHIFT + DELETE.

    • This works for Chrome, Edge, Internet Explorer, and Firefox.

  • Once opened, check the below if applicable and clear:

    • Cookies

    • Cached Files

    • Temporary Files

  • Alternatively, click on the tools icon at the top-right corner of Chrome (three dots) > More tools > Clear browsing data > check Cookies and other site data & Cached images and files (time range start at 24hrs and adjust as needed) > Clear data.

Part 5 - Check the URL

  • Ensure you have entered the correct URL.

  • You can ask your neighbor or supervisor to double-check the URL they use.

Unable to Access BedTracking - Checklist

This checklist is for users who can log in to XT/Capacity IQ® and view all tabs, including BedTracking, but receive an unauthorized access message when clicking on BedTracking. This error indicates incorrect permissions setup for the user's account.

How Unable to Access BedTracking - Checklist Works

Functionality

To resolve the issue, follow these steps:

  1. Check User Role:

    • Go to User Management.

    • Find the user.

    • View the role in the top right section of their account.

    • Note the role for reference.

  2. Verify Role Permissions:

    • Go to the Roles section in User Management.

    • Find and click on the noted role.

    • Check if BedTracking is enabled (green).

    • If not enabled, enable it and assign a BedTracking permission group.

    • If enabled, check the current permissions of the group assigned to that role.

  3. Check Group Permissions:

    • Search for the group associated with BedTracking.

    • Ensure the following settings are enabled:

      • Access Bed Dashboard

      • Access All Beds List View

      • Access Occupied Beds List View

      • Access Employee Dashboard

    • Save changes.

    • Log out and log back in to verify access.

Workflows

Invalid User ID or Password

If the user ID or password is invalid:

  • Ensure correct information is entered in both the User Login ID and Password boxes.

  • Verify the account is active with the hospital's Capacity IQ® solution administrator.

  • If the password is forgotten, select "Forgot your password."

Signing in When You Have Variable Membership ("Floater")

For users with variable membership:

  • Select a cluster or unit to access patient, bed, and job information.

  • Follow the prompts to select the appropriate cluster or unit.

If You Do NOT Access the Capacity IQ® through the TeleTracking IQ Platform

  1. In the User Login ID box, type your user ID (e.g., csmith).

  2. In the Password box, type your password.

  3. Click Sign In.

  4. When the Select Membership dialog box appears, select the cluster or unit for which you are authorized to access patient, bed, and job information.

    • To select a cluster, select the check box for the cluster name.

    • To see the list of units within a cluster, click the + next to the cluster.

    • To select a unit, scroll to the end of the list of clusters, and then select the check box for the unit.

  5. Click Save.

  6. Select an application (e.g., PreAdmitTracking, PatientTracking Portal, BedTracking, or TransportTracking).

If You Access the Capacity IQ® through the TeleTracking IQ Platform

  1. In the User Login ID box, type your user ID (e.g., csmith).

  2. In the Password box, type your password.

  3. Click Sign In.

  4. Select an application (e.g., Clinical Operations > PatientTracking Portal).

  5. When the Select Membership dialog box appears, select the cluster or unit for which you are authorized to access patient, bed, and job information.

    • To select a cluster, select the check box for the cluster name.

    • To see the list of units within a cluster, click the + next to the cluster.

    • To select a unit, scroll to the end of the list of clusters, and then select the check box for the unit.

  6. Click Save.

Using a RAC Code to Change Units and Clusters

To change units or clusters using a RAC code:

  1. Sign out of Capacity IQ® solution and the IVR system.

  2. Request a Re-Assignment Authorization Code (RAC) from a user with the appropriate permission.

  3. Sign in again and enter the RAC code.

  4. Complete the remaining steps in "Signing in When You Have Variable Membership."

Supervisor Signing in to an Employee's Computer with Single Sign-on

In a Single Sign-on configuration:

  • Supervisors can sign in to an employee's computer by clicking Sign Out > End Session and entering their own credentials.

Transporters and Bed Cleaners Cannot Sign in on a Workstation While Dispatched or In Progress with a Job

Transporters and bed cleaners cannot sign in on a workstation if their current statuses are Dispatched or In Progress on transport or bed cleaning jobs.

  • Launch TeleTracking and input your User Login ID and Password. Click the Sign In button.

  • From the Clinical Operations menu, click the Patient Tracking Portal option.

  • From the Select Membership box, choose the unit you are working on. Click save.

  • You will now see the view for your designated unit.

  • From the Clinical Operations menu, click the PreAdmitTracking® option.

  • You will now see the view of your unit.
